A CMS, or content management system, is an electronic
system that organizes data so that it can be retrieved, updated, searched, and shared.  A CMS is similar to a database, although it goes beyond a database in its tiered storage and advanced search capabilities.  A CMS deals with documents in multiple formats, including spreadsheets, pdf files, databases, and word processing documents, and can run searches in any and all of those at the same time.


A CMS allows users to share information.  However, individual users have access to different documents, depending on what is permitted to be read and worked on from their account.  Another feature that may be present in a CMS is the ability to have multiple users work on a document from various locations, eliminating the need to e-mail documents back and forth with various changes.
